Export Employee Data in Bulk (Profile, Bank Details, TIN, Past Employees)
Where to export employee data in bulk: profile master file, payroll bank details, tax numbers (TIN), and listings that include resigned employees — plus what cannot be selected in-app.
Audience & Scope
- Audience: HR Admin
- Module: Employment Management (Bulk Import/Export), Payroll, Analytics > Report Builder
- When to use this article: You need to extract employee bank account details, TIN numbers, a listing of employees (including past years / resigned staff), or the full profile data; or you want to download details for only some chosen employees.
- Go to HR Lounge > Employment Management > Bulk Import / Export > Employee Information > Employee Information.
- Download the template — it lists all profile information for all employees.
- Quickest: HR Lounge > Payroll, scroll to the Payroll Employees list, click Bulk Download/Upload, then Download .xlsx — bank account information is included.
- Customizable: Analytics > Reports > Company Payroll Report > Create, open Fields & Filters, tick the employee bank-detail fields, Apply Changes, then Export Report (CSV, Excel or PDF).
- Go to Analytics > Report Builder > Company Payroll Report.
- Customize the report fields to include the tax information field (under General Payroll Information).
- Export — all employees' payroll details numbers in one report.
- Go to Analytics > Reports, locate Employee Information Report, click Create.
- Add the fields you need (Name, IC No., Join Date, Exit Date…).
- Under Employment Details, use +Add Filter for Active/Inactive to include Inactive and Resigned employees.
- Filtering by department and office is also available in both the Employee Information Report and the Company Payroll Report.
- Q: Can I export only selected employees?
A: Reports can be narrowed with Fields & Filters by attributes (department, office, employment status…), but not by individual employee name. For a hand-picked list of employees, download the full file and filter or hide the others in Excel (a few clicks with Excel's filter). - Q: Can I export the full compensation history with effective dates for all employees?
A: No single report exports all historical compensation changes. Use Employee Payroll Variance Report (compare two payroll periods), Company Payroll Report (records for a period), or check individually under Employee Profile > Compensation. You can use Employee Payroll Report and enter in the join month till present month for a specific employee. A bulk history export would be a feature request.
