How to Use the Data Templates for Your BrioHR Implementation

A Simple Guide to Understanding the 5 Templates for Your Implementation

As part of your BrioHR implementation, we’ll be collecting key employee and company data through a set of standard templates. These templates help ensure your information is properly structured for migration into the system.

To guide you, we’ve included both written instructions and short video walkthroughs. You can follow along step by step while filling in the templates.

The five templates you’ll be working with are:

  1. Employee List Template

  2. Employee Payroll Data

  3. Company Payroll Data + Payroll History Report

  4. Expense Claims

  5. Leave Template

1. Employee List Template

This template captures your employees’ core information (e.g., name, email, department, job title, hire date). It forms the backbone of your HR system, so accuracy here is essential.


2. Employee Payroll Data

This sheet is used to record salary, allowances, deductions, and other payroll-related details for each employee.


3. Company Payroll Data + Payroll History Report

  • Company Payroll Data: Covers your organization-wide payroll settings such as pay cycle, bank details, and statutory contribution accounts.

  • Payroll History Report: A record of past payroll runs (usually for the current year) to ensure continuity when moving to BrioHR.


4. Expense Claims

This template gathers any outstanding or historical claims you’d like to migrate. Typical fields include claim type, amount, date, and employee reference.


5. Leave Template

This file records employees’ leave balances and entitlements, ensuring that leave carried over and current balances are reflected in BrioHR.


Tips for Filling Out Your Templates

  • Always use the provided formats (e.g., date format YYYY-MM-DD).

  • Do not change the column headers, as they are mapped directly to the system.

  • Double-check for typos, missing values, or inconsistent employee info.

  • If unsure about certain fields, leave them blank and we’ll clarify during review.
