How HR Admin Can Perform Manual Attendance Entry for Employees in BrioHR

Learn how to manually clock in and clock out employees in BrioHR as HR Admin. This step-by-step HR guide ensures accurate time tracking and timesheet adjustments.

Introduction

HR Admins can manually enter attendance records to edit clock-in (first in), clock-out (last out), and break durations, ensuring accurate daily timesheets for employees.

What Is Manual Daily Attendance Entry?

Manual daily attendance entry allows HR Admin to add or modify attendance data for their employees including clock-in, clock-out, and break durations. 

There are two (2) places where an HR Admin can manually enter daily attendance for an employee:

  1. From the Daily Attendance Section
  2. From the Timesheet Section

Step-by-Step Guide: Manual Attendance Entry for Employees

Login to your BrioHR account using a web browser.

1. Navigate to the HR Lounge page.

2. Go to Time Attendance.

Method 1: From the Daily Attendance Page

1. Click the Daily Attendance tab.

2. By default, you will see today's date.

3. Search for the employee's name in the search bar.

4. Click the pencil icon to start manual attendance entry:

    1. First In
    2. Last Out
    3. Break

 


Method 2: From the Employee's Timesheet

Accessing an employee's timesheet provides HR Admins with a comprehensive view of their attendance for the entire month.

  1. Click the Timesheet tab.
  2. By default, you will see the current month.
  3. Search for the employee's name in the search bar.
  4. Click the employee's name, or the "open in new browser" to open the employee's timesheet'
  5. Find the date for manual attendance entry and click the pencil icon to start editing.

    2. Last Out
    3. Break


Editing Clock-Out for Overnight (Cross-Day) Shifts

Employees on overnight shifts (for example, Clock-In at 11:00 PM on Day 1, Clock-Out at 6:00 AM on Day 2) sometimes forget to clock out. When you corrects this via manual entry, brioHR lets you know the clock-out on Day 2 is for the previous day shift. So, if you set a Clock-Out time earlier than Clock-In, the system automatically infers the Clock-Out falls on the next calendar day.

How it works for Shift-based employees:

  • You can enter any Clock-Out time on a day after the shift start,  regardless of the company's configured Split Shift Time.
  • Clock-Out must still be later than Clock-In; setting Clock-Out equal to or earlier than Clock-In will trigger a validation error and the entry won't save.

Workday attribution banner

When the Last Out time you enter is past midnight and/or past the configured Split Shift Time, a banner appears on the Last Out field to clarify how the entry will be attributed:

Past midnight only "Last Out is after midnight, but this entry still counts as the previous workday."
Past midnight and past Split Shift Time "Last Out is after the configured Split Shift Time, but this entry still counts as the previous workday."

This banner is available wherever you edit entries: Timesheet Detail, Daily Attendance, and the brioHR mobile app.

Once saved, the shift duration calculates correctly (7 hours, not negative or same-day), and OT/shift premiums or deductions recalculate based on the corrected duration.

1. Can HR Admins edit past attendance records in BrioHR?

Yes, HR Admins can adjust past attendance records by opening the employee’s timesheet. Follow the steps under "Manual Attendance Entry from Employee's Timesheet" above.

2. Can reporting managers edit their team's daily attendance?


Yes, reporting managers can edit their team's daily attendance if they have access to Team Page > Time Attendance. To enable this permission, refer to [this guide].

NOTE:
Once the employee's timesheet has been approved, neither HR nor managers are allowed to modify the employee's attendance records.
