As the season for generating CP8D forms approaches, we have a quick update regarding the files that can be generated through our system.
To generate the CP8D file, please follow these steps:
HR Lounge > Payroll > Dashboard > Quick Actions > Form E/CP8D > Download > Choose file/format of your choice > Download
However, if you encounter an error message while downloading the form, please be aware that this is related to a recent update to the forms.
Key Updates:
Mandatory Date of Birth Field:
The Date of Birth for employees is now a required field, especially for those still employed with the company. The system automatically adds 60 years (the retirement age in Malaysia) to the employee's Date of Birth and populates Column G (Tarikh Persaraan / Tamat Kontrak) with the calculated retirement date.
Handling Resigned or Terminated Employees:
For employees who have resigned or were terminated during the assessment year, the system automatically inputs the End Employment Date into Column G of the CP8D form.
NOTE:
If an employee is terminated in 2024, the CP8D/Form E generated for 2023 will still capture the employee's Date of Birth, as they were active during 2023.
System Data Capture Explanation:
Active Employee Example: Date of Birth: 12 Mar 1983
System Capture: Date of Birth + 60 years (retirement age) = 12 Mar 2043 in Column G
Resigned Employee Example: Resignation Date: 27 Dec 2023
System Capture: Resignation Date = 27 Dec 2023 in Column G
This update applies to all employees within the payroll centers, and the information for this column is mandatory. If you receive an error message, it will indicate which employees lack the necessary information.
Updating Employee Information: If you need to update employee information, follow these steps:
For Active Employees:
Path: Employee Profile > Profile > Personal Details > Edit > Date of Birth > Fill in details > Save
For Inactive/Resigned Employees:
Path: Employee Profile > Three Dots > End Employment > Fill in the termination date > Save

Employment Status in Column F: The employment type assigned to an employee in the system determines the employment status reflected in the CP8D files.
The employment type will be captured in the CP8D based on the configuration set, as shown in the attached screenshot.
