Streamline Payroll Management with Efficient Pay Item Additions

Learn how to effectively manage payroll by adding pay items such as additions, deductions, and tax reliefs for individual employees.

Methods for Adding Pay Items in Payroll Process

There are two methods for adding pay items during payroll processing:

Individual Updates

Pay items can be added for a specific employee by expanding their payroll breakdown within a payroll cycle.

This article will focus on how to perform this action.

Bulk Updates

    • Add pay items for multiple employees with different pay amounts in bulk using an Excel template.
    • For instance, adding Bonus pay item for 50 employees and each of the employee has different Bonus amount.
    • For more information, please refer to [this guide].

Why Adding Pay Item Individually is Useful

Bulk updates save time by allowing HR to update employees' payroll details in a single upload, especially when the updates involve several or a large number of employees within the payroll center.

This Excel template is usually for HR to overview who are the employees with missing salary, bank account details and with incomplete statutory contributions setup.

As a payroll specialist, follow these steps when running a monthly payroll cycle:

  1. Initiate Payroll Process

    • Click Run Payroll and select the employees to be included in the cycle.

  2. Select an Employee

    • Choose an employee to view their payment details for the month.
    • The system will automatically calculate contributions and tax amounts based on company and individual payroll settings.

  3. Add Pay Items (Additions, Deductions & Tax Reliefs)

    • Click the corresponding "Add" button under Additions, Deductions, or Tax Reliefs.
    • A dropdown menu will appear for selecting the appropriate pay item.
    • Use the Search function for quicker access to specific pay items.

If you are unable to find the suitable pay item from the dropdown list, you will need to create a new custom pay item. Click into this link to find out how.
