Employees who have resigned within the year are still required to receive an EA Form that includes income from their previous employment.
This income information must be declared during e-Filing on the LHDN (Lembaga Hasil Dalam Negeri Malaysia) portal, starting March 1st each year.
BrioHR provides a dedicated function that allows HR administrators to send EA Forms directly via email to resigned employees. This article will guide you through the process step by step.
Step-by-Step Guide: Send EA Form to Resigned Employees via Email
Step 1 - Log In to BrioHR Account
Log in to the BrioHR account using your registered credentials.
NOTE:
Ensure that you have the appropriate Payroll Admin permissions to access the payroll module.
Step 2 - Access the Payroll Center
1. From the main menu, go to HR Lounge > Payroll.
2. Navigate to the Employee Payroll List table.
Step 3 - Search for Resigned Employees
1. In the Status field, filter by Inactive.
- This will display a list of resigned employees who were previously processed in the current payroll center.
2. If an employee has been transferred to a new payroll center, you will see an indicator such as:
"Not in this payroll center since MMMYYYY"
3. Use the search bar to find the specific resigned employee's name.
Step 4 - Send EA Form via Email
1. Click Select an Action next to the employee's record.
2. Choose Send EA via Email from the dropdown menu.
3. Enter the required details in the form.
4. Input the resigned employee's valid email address.
IMPORTANT NOTE:
If the email address entered is invalid or inactive, the system will still attempt to send the EA Form. However, the resigned employee will not receive the email.
TIP:
Always confirm the employee's latest personal email address before sending the EA Form to ensure successful delivery.
