Part of the Payroll Singapore data migration series for new brioHR clients. This article covers: The big picture; What happens after your data is migrated.

Audience & Scope

Audience: HR and admin teams setting up brioHR for the first time

Module: Payroll Singapore

Country: Singapore

Pre-requisites: Implementation kick-off meeting with your Implementation Manager (IM) completed; the Company Payroll Info (SG) and Employee Payroll Data (SG) templates from your IM; Employee List loaded and verified (Profile & Dashboards)

This article is part of the Payroll Singapore data migration series. It follows the Payroll Singapore Data Migration Guide (PDF).

The big picture

Payroll uses the employees already in your Employee List, so you don't add them again. In the Payroll templates, you only add your company payroll details (company, bank and payroll cycle) and each employee's pay details.

Who does what: Admin and Payroll

RoleLooks afterIn this guide
AdminCompany-level payroll details: company and tax registration numbers, authorised person, company bank account and bank file settings, pay day and calculation formulas.Company Payroll Info (SG) template.
Payroll / FinanceEmployee-level pay data: salary, ID and residency details, bank accounts, CPF, community fund, SDL and FWL settings, fixed allowances and deductions.Employee Payroll Data (SG) template.

💡 Tip

Add a payroll manager for each payroll center. Only payroll managers can access that center's payroll data and view or download its reports. When you submit your templates, tell your IM who they are, plus any comments (for example, if one person manages more than one center). How to Assign a Payroll Manager to Your Payroll Center

Key terms

Template and tab: A template is an Excel file we send you, where you type in your data. A tab is one of the sheets along the bottom of the file, and each tab covers one part of your data.

Dropdown: A cell where you pick an option from a list instead of typing. Use the dropdown where the template offers one.

Payroll center: A group of employees processed together in one payroll run, for example one per legal entity or branch.

DBS organisation ID: A bank-assigned ID, specific to DBS, needed only if you generate bank files for DBS.

Parallel run: One full payroll cycle run in brioHR alongside your old system, to confirm the numbers match before you go live (see "What happens after your data is migrated" below).

Employee ID / Staff ID: The same ID under two labels: Staff ID on the Employee List and the Fixed Allowance/Deduction tab, and Employee ID on the main Employee Payroll Data tab. It is optional. If you leave it blank, brioHR generates one, and employees are matched by name (main tab) and email (Fixed Allowance/Deduction tab), exactly as written in the Employee List template you filled in for Profile & Dashboards.

CPF, SDL and FWL: CPF is the Central Provident Fund. SDL is the Skills Development Levy, and FWL is the Foreign Worker Levy. The community funds (CDAC, ECF, MBMF and SINDA) are also deducted through CPF. You will set each of these for each employee.

What happens after your data is migrated

Once you send your templates to your IM, your data is migrated into brioHR. Before you go live, you then:

  • Check that the data landed correctly. the data verification articles show you how.
  • Run a parallel run. The following month, run one full payroll cycle in brioHR alongside your old system, then compare the two. It is only a simulation: no salaries are paid out from brioHR.
  • Sign off. Raise every difference with your IM, and go live when everything matches. Keep your old system and its payroll data until then.
