The big picture
Profile & Dashboards is the foundation of brioHR. Everything else (Payroll, Leave, Expense Claims, Timesheets and more) is built on it. Your offices, your people, who they report to and what each person can see decide who can log in, who approves what, and how the other modules behave. Almost every other migration template identifies employees by the Staff ID, Employee ID or email address from your Employee List, so this is the template to get right first.
Who does what: Admin and HR
| Role | Looks after | In this guide |
|---|---|---|
| Admin | Company and system level: Settings, user groups, payroll centres and bulk actions. | Offices, user groups and module access, payroll centres. |
| HR | People level: employee profiles (add, update, terminate). | Employee master data, reporting lines, optional profile details. |
💡 Tip
Managers do not fill in templates, but being named as a manager on each direct report decides what they see on their Team dashboard and in Pending Actions. Ask managers to confirm their direct reports before go-live, so the manager email column is right the first time.
Key terms
Template and tab: A template is an Excel file we send you, where you type in your data. A tab is one of the sheets along the bottom of the file.
Office: Where an employee works. It is the main filter in brioHR, and its state decides public holidays.
Staff ID: Each employee's unique ID. It is the key used to match records in the Payroll, Leave and Claims templates.
Manager: The employee's direct reporting manager, entered by email address. Approvals follow this field.
User group: Decides what each person can see and do across modules, reports and documents. Admin and Employee are the defaults.
Leaver: An employee who left from the beginning of this year. Include them, each with a last day of employment.
What happens after your data is migrated
Once you send your templates to your IM, your data is migrated into brioHR. Before you fill in any other template, you then:
- Check that the data landed correctly. The data verification articles show you how.
- Move on to the other templates. Payroll, Leave, Claims, Timesheets, Performance, Training and Recruitment all identify employees from your Employee List, so treat it as final once verified.
