How Managers Can Manually Assign and Replace Employee Shifts in BrioHR Rostering

Learn how to manually assign or replace direct reports' shifts in BrioHR’s rostering feature. Follow this step-by-step guide for managers to efficiently manage shift schedules.

Introduction

When direct reports are assigned to a work schedule with multiple shifts, their rostering page will appear empty by default. This is not an error - it is designed to give managers flexibility.

Managers can manually decide which shift period each direct report should work for the week or month. This approach allows for adaptable scheduling to match operational needs and direct report availability.

This is also method if the mangers would like to replace, or exchange designated shift periods on direct report's rostering.


Step-by-Step Guide: Assign Shift Manually in Direct Report's Rostering

Step 1 - Log In to BrioHR Account

Log in to your BrioHR account using your registered credentials.

Step 2 - Access Direct Report's Rostering Page.

1. Navigate to Teams > Time Attendance.

2. Go to Rostering.

3. View by 'Week' or 'Month'.

4. Search for the direct report's name to open their rostering view.

Step 3 - Assign Shift for Each Day

1. Hover over the desired day box.

2. Click the (+) plus icon.

3. Choose from the predefined shifts based on the employee’s assigned work schedule.

For example:

  • Shift 1: 09:00 - 18:00
  • Shift 2: 13:00 - 22:00

4. Select the shift your direct report should work for each day.

NOTE:

You can assign two shifts on the same day, as long as the time periods do not overlap.

If you intend to assign shifts on a rest day or a public holiday, please refer to the articles below for detailed guidance. This ensures that employees' working hours are accurately calculated as Overtime Rest Day or Overtime Public Holiday in the system.

Step 4 - Publish the Rostering

Once shifts are assigned, click Publish Rostering to apply the changes. This ensures the new shifts appear correctly in the employee’s Time Attendance section.


Step-by-Step Guide: Replace an Existing Shift in Direct Report's Rostering

Step 1 - Access Direct Report's Rostering Page

1. Navigate to Teams > Time Attendance.

2. Open Rostering.

3. View the roster by 'Week' or 'Month'.

4. Search for the direct report’s name.

Step 2 - Replace Existing Assigned Shift for Each Day

1. Hover over the day box with the assigned shift.

2. Click the (+) plus icon.

3. From the predefined list of shifts under the employee’s assigned work schedule, select the new shift to replace the current one.

Step 4 - Publish the Rostering

Once shifts are assigned, click Publish Rostering to apply the changes. This ensures the new shifts appear correctly in the employee’s Time Attendance section.

If rostering has been published prior, you do not need to publish again. The newly replaced shifts will appear immediately from employee's Time Attendance page.
