Leave Template: Malaysia vs Singapore, Common Mistakes and an Example

This article covers the differences between the Malaysia and Singapore Leave templates, the most common migration mistakes, a filled-in example, and sending your template to your IM.

Audience & Scope

Audience: HR and admin teams setting up brioHR for the first time

Module: Leave

Country: Malaysia, Singapore

Pre-requisites: Implementation kick-off meeting with your Implementation Manager (IM) completed; all five tabs of the Leave template filled in

This article is part of the Leave data migration series. It follows the Leave Data Migration Guide (PDF).

Malaysia or Singapore?

Use the template version that matches your country. Both versions have the same five tabs.

Common migration mistakes

What to avoidWhat to do instead
Carry forward as at today.Enter the days carried into the new year as at 1 January. Loading today's figure makes every balance wrong by the days taken in between.
Leaving out this year's leave history.Include every leave taken so far this calendar year on the Leaves History tab. Without it, balances are wrong from day one.
Getting credit basis wrong.Decide credit-based or fixed entitlement before go-live. It cannot be changed after the leave type is created.
Missing credit leave types.Add Replacement Leave (MY) or Off in Lieu (SG) on the Leave Policy tab, and load existing credits on the Credit Leave Request History tab.
Wrong eligibility restrictions.Check the restrictions for each leave type. Wrong ones hide the leave type from employees who should have it.
Wrong carry forward maximum or expiry.Match them to your real policy, or balances will not match what employees expect.
Leave type names that don't match.Type leave type names on the history tabs exactly as on the Leave Policy tab.
A wrong or missing manager on the employee profile.Fix the manager field in your Employee List. Otherwise approvals go to the wrong person.
Leave and Payroll unpaid leave formulas that disagree.Confirm with your IM which formula is active, or deductions will not match what you expect.

An example

The values below are fictional and show how the answers fit together. Use your own company policy.

Leave Policy: one row for Annual Leave

Template itemExample answer
Leave NameAnnual Leave
Credit Basis?No (fixed yearly entitlement)

Allowed to carry forward?Yes, maximum 5 days, expiring at the end of March
Count office working days only?Yes
Allow booking half day?Yes
Attachment mandatory?No

Carry Forward Leave: why "as at 1 January" matters

Suppose an employee carried 3 days into the year and has since taken 1 of them. The Carry Forward Leave tab should show 3 (the figure at 1 January). The 1 day already taken goes in Leaves History, flagged as carried forward. If you entered 2 (today's remainder) and also loaded the 1 day taken, the day would be taken off twice.

Send your template to your IM

When all five tabs are filled in, send the template to your IM. Once your data has been migrated, move on to data verification, starting with How to Verify Your Leave Types, Policies and Configuration. For how-to steps, see the Leave Starter Guide and the related brioHR Knowledge Base articles. If you're unsure how to fill in any field, your IM is happy to help.

🔗 Well done!

Leave is policy-heavy, so getting it right now saves a lot of questions after go-live. Take your time, and ask us anything along the way.
